Vikiio Platforms Inc. (“Vikiio,” “we,” “our,” or “us”) values your privacy. This Privacy Policy explains what personal information we collect when you use Vikiio Meets (the website, desktop app, and mobile applications), how we use and share that information, and the choices you have. By accessing or using Vikiio Meets (the “Service”), you agree to the practices described below.

1. Information We Collect

Account information – When you create an account we collect your name, email address, optional phone number, password hash, profile photo, organization name, and role.
Usage and meeting information – We log meeting titles, dates and times, participant lists, in‑meeting chat messages, polls, Q&A interactions, reactions, and other collaboration data.
Audio, video, and recordings – The Service processes real‑time audio and video streams. If the host enables recording, we capture and store those recordings together with captions, transcripts, and AI‑generated notes.
Device and technical information – We automatically collect IP addresses, device identifiers, operating‑system and browser details, app version, language preference, and crash or performance logs.
Payment information – For paid plans we receive billing contact details and tokenized payment‑card data from our PCI‑compliant payment processor, along with subscription status and invoices.
Cookies and similar technologies – We set cookies, SDK event logs, and local‑storage items to remember preferences, secure sessions, and generate analytics.

We do not intentionally collect sensitive personal data such as health information or biometric identifiers unless you voluntarily include such data in content you upload.

2. How We Use Personal Information

We use the information we collect to operate, maintain, and improve the Service; to establish sessions and route media streams; to authenticate and secure accounts; to process subscriptions and payments; to send service announcements, meeting invitations, reminders, and security alerts; to provide customer support; to perform analytics that help us understand adoption and troubleshoot quality; and to comply with legal obligations. Our legal bases for these activities include performance of our contract with you, our legitimate interests in providing a secure and useful service, your consent where required (for example, marketing emails or optional integrations), and compliance with applicable laws.

3. Sharing and Disclosure

We do not sell your personal information. We share it only as needed with:

  • Service providers such as cloud‑hosting platforms, payment processors, speech‑to‑text or translation vendors, and email‑delivery platforms that act on our instructions under strict confidentiality.

  • Other meeting participants, who can see your display name, profile picture, chat messages, live captions, and any recordings or transcripts the host chooses to share.

  • Enterprise administrators if your account is provisioned by an organization; administrators may access usage analytics, recordings, and audit logs.

  • Government authorities or other parties when required by law or to protect the rights, safety, or property of Vikiio, our users, or the public.

  • Successors in interest if we are involved in a merger, acquisition, or sale of assets. We will notify you of any change in ownership or control affecting your personal information.

4. International Transfers

Vikiio Meets is operated from the United States, and your data may be processed in the United States or other countries where we or our service providers maintain facilities. When we transfer personal information from the European Economic Area, the United Kingdom, or other regions with data‑transfer rules, we rely on standard contractual clauses or other lawful transfer mechanisms.

5. Data Retention

We keep account data for as long as your account is active and ordinarily delete or anonymize it within thirty days after account closure, unless a longer period is required by law or for legitimate business reasons such as the resolution of disputes or the enforcement of our agreements. Meeting recordings and transcripts stay in our cloud until the meeting host deletes them or until any organization‑defined retention period ends. Diagnostic logs and aggregated analytics are generally retained for up to twelve months.

6. Security Measures

We use industry‑standard safeguards to protect personal information. Live audio and video streams are encrypted in transit with DTLS‑SRTP. All other data travels over TLS while in transit and is encrypted with AES‑256 or stronger at rest. We operate role‑based access controls, enforce multi‑factor authentication for administrative accounts, conduct regular penetration testing, and, for enterprise plans, maintain SOC 2 Type II controls. While we strive to protect your information, no system is completely secure, so we encourage you to use strong passwords and protect meeting links.

7. Your Rights and Choices

Depending on where you live, you may have the right to access, correct, delete, or receive a copy of personal information we hold about you, to object to or restrict certain processing, to withdraw consent for optional features, and to opt out of marketing communications. You can exercise these rights by emailing privacy@vikiio.com. We will verify your identity and respond within the timeframe required by applicable law. You can manage cookie preferences through your browser settings, though disabling cookies may affect Service functionality.

8. Children’s Privacy

Vikiio Meets is not directed to children under sixteen years of age. We do not knowingly collect personal information from minors without parental consent. If you believe a minor has provided us with personal data, please contact us and we will delete it promptly.

9. Cookies and Similar Technologies

We use first‑party and limited third‑party cookies to authenticate user sessions, remember settings such as language and layout, measure aggregated usage metrics, and diagnose performance issues. You may block cookies through your browser, but some features of the Service may not function correctly if you do.

10. Third‑Party Links and Integrations

The Service may link to or integrate with third‑party websites and applications. Their privacy practices are governed by their own policies, which we encourage you to review before enabling any integration.
